Tender Manager User Guide

Overview

Tender management is an add-on for the Salesforce that addresses the need for better handling of quotes that are part of the tender process in the building / construction industry.

If your products or materials are specified in a project that is out for tender, multiple contractors will be requesting quotes for the same opportunity. This tool gives you a way to track who is bidding on the tender and to quickly and easily create a copy of the quote documents for each bidder.

For each project you need to create only one opportunity and a single quote that can be used as a template for each bidder. This keeps your pipeline clean and makes changes and updates to the specification a simple task no matter how many bidders you are working with.

Create a Tender

Navigate to the ‘Tenders’ tab and create a new tender using the ‘new’ button

Add a specifier and a primary contact for your specifier and save

Create the Opportunity / Quote

Create a new Opportunity from your new Tender page using your specifier as the Opportunity account

Create Opportunity

Create as many opportunities as you have on this project. For example if your products have been specified for the walls and the floors (and installation will be by different contractors) create one for the wall component and one for the floor.

Create Quotes for your Opportunity. Create the quotes as you normally would for an opportunity using the specifiers primary contact in the ‘quote prepared for’ section. Add products and sync if appropriate. You can create as many quotes as you need to accommodate different configurations of your product in the specification. This may be one or many. The quotes that you manually create at this stage are used as templates for your bidders later on.

You should NOT add anything in the ‘Tender Bid’ field for the quotes that will be used as templates. See below.

Navigate to the bidders tab in your Tender and press the ‘new’ button to Add bidders

For each Bidder add the Account and a primary contact. Quotes created for each bidder you create will use the contact you set here in the ‘quote prepared for’ section. If you have multiple bidders use the ‘save and new’ button, otherwise ‘save’ when done.

To start the quote creation process for your bidders locate and press the ‘Create Quotes’ button on your tender page

Select the template (from the Opportunity and Quote you created earlier) to base your new quotes on

Review your selection and optionally choose to also create PDF’s. You should create PDF’s only if no customization or tweaks are required to the quote after creation. If you choose to create PDF’s as part of the process you will need to choose a PDF template from the drop down menu as shown below.
